Under the close supervision and guidance of the supervisor, the communication assistant supports the respective section through providing a range of technical, administrative and operational support in developing, implementing, executing and monitoring their communication strategies and plans, with a special focus on digital communication and content production, ensuring effective and timely delivery that is consistent with UNICEF rules and regulations, and to support UNICEF’s mission in the country.
The communication assistant will provide photographic, audio-visual and graphic design production support services and assist field production activities of the CAP Section and Network.
In addition to practical digital communication skills the communication assistant will be required to coordinate all the administrative elements of digital content production. They would be required to ensure that the production of graphics, audio-visual and photo products are timely executed and followed up to support the country communication strategy and requirements of programmes.
Given the central role that images now play in communicating messages in the digital space, the communication assistant would be essential in ensuring that powerful images (photos and graphics) contribute to and are part of the UNICEF ICO digital communication strategy. In addition to practical digital communication skills the communication assistant will be required to coordinate all the administrative elements of digital content production. 1. Administrative Support to development, planning and execution of communication strategy and content production
Provides administrative support for content production with a special focus on digital content production. This includes receiving content production requests, deciding if in-house production or contracting is required, supports monitoring of budget spend, follows up on the production of advocacy and communication materials and oversees the qualitative aspects of production (e.g. correct format, quality control, translations, reviews layout, ensures content clearance for publication etc.).
Provides administrative support to facilitate the processing of contracts for consultants and external partners/service providers that provide a service to the section, especially for digital content production. This includes preparing and filing documents, completing necessary forms and templates, and making logistical arrangements.
Responsible for collecting invoices, checking invoices in consultation with the contract supervisor and filing documents for approval. Liaises with programme assistant and relevant colleagues for payments.
Maintains detailed records on contracted work for content production. Keeps vendor lists, partners and consultants rosters up to date.
Supports monitoring and inputs to the content production and planning calendars.
Administrative and logistics support to communication production missions.
2. Support in photography services:
Manages the photo database (collection and uploading) including selecting images, inputting data and writing detailed captions.
Supports creation of photo products for publication across various platforms.
Creates photo albums for uploading on photo sharing platforms.
Photography (especially for internal use).
Edits photographs as required using latest software.
Manages the cataloguing and archiving of photographs.
Services photo requests and provides photo packages and images, and guidance on their use.
3. Support in audio-visual (AV) production:
Receives, catalogues and stores AV footage as required
Supports in-house AV production and editing, including basic edits to videos.
Coordinates archiving of footage and audio.
Prepares raw video footage for various uses.
Shoots simple videos for social/digital media channels
Maintains B Roll footage.
Duplicates video footage as required.
4. Support in graphic design, visual production, publications and branding:
Produces basic design packages for the office: including simple infographics, presentations and materials for social media and web.
Provides graphic design support to sections and state offices (including editing/updating of designs)
Supports in-house production of simple graphic design products
Supports in-house production of presentations and publications
Maintains library of digital and printed publications
Maintains open files of graphic design and publications in case of future edits Provides support related to branding enquiries and correct use of logo and branding as required.
5. Studio and communication related equipment management:
Responsible for studio services, production support, duplication, routine adaptation of public information materials using the available facilities as required.
Identifies technical and operational needs/problems relating to production and alerts supervisor as necessary and takes or assists remedial action as required. Is expected to maintain assigned quality standards on all materials handled.
Operates and maintains AV and photography equipment
Supports management of communication related office equipment
Manages the studio facilities usage and maintenance
6. Support to Knowledge Management:
Establishes and maintains an up-to-date documentation center for publications, photographic, audio-visual, graphic and other digital communication materials.
Receives final copies and raw editable versions of all products for achieving/storage. Maintains open files of all audio visual, photographic and design files in case of future edits.
Ensures all photos and videos have correctly consent and release forms and that these are filed systematically.
Maintains a collection of audio visuals for use across different programme areas
Coordinates a list of metadata key words.
Maintains a record of all productions coordinated by the section.
Maintains contact details of contractors and partners.
Supports M&E as required.
7. Support in capacity building:
Ensures that the CAP team are provided with professional expertise and advice on all aspects of communication content production with a special focus on digital communication.
Capacity building and advice provided to the communication network, programme team and relevant partners as required.
Advises supervisor and CAP team on technical content production with a focus on digital communication.
Supports digital communication activities through knowledge management, information exchange and capacity building. Support preparation of training material, guidelines and orientation material.
Assists field offices with routine AV and production tasks as required.
Provides routine orientation and informal training support to staff on simple AV, camera and other digital communication equipment and software operation as required. 8. General Administrative Duties:
Maintains hard and electronic files and update database systems ensuring timely and appropriate recording or productions.
Provides administrative support to the digital team as necessary.
Impact of Results:
The efficiency and effectiveness of the support provided by the communication assistant to the development, implementation and monitoring of communication strategies and projects facilitates the delivery of concrete and sustainable results for the respective section, which in turn enhances the offices and UNICEF’s capacity in helping the most vulnerable women and children.
The efficiency and effectiveness of support provided by the communication assistant ensures that strong content production services are provided to the section which in turn affects the timely and accurate completion of the services provided by the communication officers and specialist in the team.

Requirements of the position (QUALIFICATIONS, SKILLS AND COMPETENCIES):-
Completion of secondary education, preferably supplemented by technical or university courses related to communication.
A minimum of 6 years of progressively responsible digital communication production work experience is required with experience working in various media formats: online, audio, video, photography and graphics.
One year practical professional work experience in interactive digital media and/or graphic design and digital publishing.
Demonstrated knowledge of the latest digital production and editing software (especially for video editing, photo editing and graphic design),
Skilled in some or all of the following industry tools: (Avid Media Composer, Light works, Premiere, After Effects, Final Cut Pro, Pro Tools, Photoshop).
Experience in digitizing and video streaming and creating graphics for the web and other multimedia services.
Demonstrated knowledge of computer software for producing presentations, spreadsheets, databases and other documents.
Ability to operate latest model video production, archiving, and editing equipment.
Technical training in digital photography/recording equipment operation (or equivalent work experience) and knowledge of basic equipment maintenance.
Five years of progressively responsible and relevant professional work experience in communication, print, broadcast, and/or new media.
International and national work experience (for IP). Field work experience (for NO). Background/familiarity with Emergency situations.
Fluency in English is required. Knowledge of another official UN language or a local language is an asset.
